Capture To A Specific Folder

If you use different Outlook folders to store information for different projects, you might want to configure Copy2Contact to use those folders instead of the defaults.

Open Copy2Contact’s Target Apps preferences (described in the previous tips), click on the page for Outlook, and press the “Default Folders” button.


Create Tasks Instead of Events

If you organize your time using tasks with assigned due dates more than you use your calendar, you might want Copy2Contact to create tasks instead of appointments by default.

Copy2Contact automatically creates a new appointment when you capture date information. To make Copy2Contact create a task by default instead, check the “Create tasks by default” box in Copy2Contact’s Events/Tasks preferences. 

You can find that setting by clicking the Copy2Contact icon near your clock as described in previous tips.

Reverse Copy2Contact?

Wish you had some way to paste a plain-text version of an Outlook contact into an email message? 

That hidden Copy2Contact window on your taskbar that we showed you in the last email has a “Copy as Text” option in the “Utils…” menu.

Click it and voilà! Now you can paste the plain-text contact information from your clipboard into any document! Works with appointments, too.

Capture An Upcoming Event

You might have thought that Copy2Contact is only for grabbing Contacts, but it can grab appointments into your calendar, too.

If you receive scheduling emails from co-workers or use online calendars then Copy2Contact can help you put important events on your personal calendar.

Highlight only the datetime, and short descriptionof an upcoming event.

Then press Copy2Contact’s shortcut key to capture it to your calendar.

Configure Your Shortcut Key

In addition to the default Control-c-c, you can customize your shortcut key to be one of the function keys F1-F12. This is a feature of Copy2Contact PRO only but is also available for everyone during the 14-day free trial period after installing the software so that you can test it out.

A different shortcut key can be chosen for each target application you capture to, e.g. press F12 to capture to Outlook, or Shift-F12 to capture to Salesforce.com.

You’ll find the shortcut key settings for each target application by clicking the Copy2Contact icon near your clock, then clicking Utils > Target Apps from the menu.


Tweaking Copy2Contact’s Results

Copy2Contact sometimes makes little mistakes. Fortunately, Copy2Contact has a few advanced features that make it easy to quickly fix common foul-ups.

Each time you activate Copy2Contact, a hidden window is available on your taskbar that has advanced functions. Click the Copy2Contact button on your taskbar to reveal it.

If Copy2Contact creates an appointment when you wanted a contact, for example, just use the Rescan as… buttons to create the correct item.

Use the Swap functions in the Utils… menu to swap the name and company name if they were reversed, or to swap phone numbers that are out of place.

How Do I Access Copy2Contact?

Hold your mouse over the Copy2Contact icon to see Copy2Contact’s setup (missing?).

In this example, Control-c-c is the shortcut key you can use anywhere to capture an item to Microsoft Outlook.

First, highlight text describing a contact or appointment in a document or email.

Then activate Copy2Contact by pressing and holding the Control key, then pressing the ‘c’ key twice quickly. It’s like copying text but with an extra ‘c’.

Tip: Be sure to hit the shortcut key immediately after highlighting the text you want. Clicking somewhere else first will de-activate the highlighted text and prevent Copy2Contact from finding it.

Top Use: Email Signatures

We often receive email messages from people who include their contact information at the end of each message in an “email signature”.

With Copy2Contact you can instantly capture this contact info without retyping.

Highlight the contact info in the signature block only, then press Copy2Contact’s shortcut key to capture the new contact. Voila!


Highlight Only The Text You Need

Copy2Contact is really smart. But you have to help it out a little bit by highlighting only the text that should appear in a new contact or appointment item. For example:

Here's my new address:
Jeff Falkner
945 Memorial Drive
Cambridge, MA 02134

Don't forget to write me!

The text above and below the address should not be highlighted before activating Copy2Contact since it might confuse it. Try it!

Unsupported Outlook Version Error

The “Unsupported Outlook Version” error can happen for no obvious reason, even when Outlook and Copy2Contact are properly installed. Copy2Contact relies on Outlook to report its version number to Windows and sometimes this seems to get broken.

First check whether or not you have uninstalled a previous version of Outlook. An older version of Outlook being present can cause this error.

Then it’s best to try restarting your computer. A restart is easy and can fix the problem, though not always.

Lastly, and if the above doesn’t work, a complete uninstall and reinstall of Outlook from the original source is required. It sounds drastic but typically goes smoothly and fixes unexplained problems like this most of the time. Some parts of Outlook get corrupted during normal use and often even after a first install.
